Instructions for Hiring Student Employees for Summer 2007
Request Forms Due Friday, April 27th.
If you wish to employ
student assistants during the summer:
1. Make sure you have a budget for workstudy employment. Contact your department head or the Budget Office for approval. You will need to know how much you have available to spend, the name of the account, and the number of the account. The Financial Aid Office cannot provide this information. If this is a new position, submit a Job Description Form. We are required to have a Job Description on file for all positions.
2. Complete the attached Request Form for Summer 2007 if you want to hire a student to work any time between May 4 and August 15, 2007. You must confirm with your department/division head or the Budget Office to determine how much you have available to spend, the name of the account and account number. (You can save this spreadsheet to your computer so you can edit it later. Either: 1)Use your right-mouse-button to click the link and then select "Save Target As" and save the file as an Excel spreadsheet to your hard-drive or 2) Open the file, select File, Save As, direct it to where you want it saved, and save as a Microsoft Excel spreadsheet. Then type in your data.)

Have
your student assistant complete a
Summer School 2007 Aid Application
if he/she has
not completed one already.
THIS
APPLICATION MUST BE COMPLETED WHETHER OR NOT THE STUDENT IS ENROLLED IN COURSES
DURING THE SUMMER since it confirms the student will be returning for the Fall
2007.
4 . Return the Request Form for Summer 2007 (as well as any Summer Aid Applications if your student(s) turned them into you) to the Financial Aid Office.
5. All student employees are required to sign employment authorization forms before they begin work in the summer. (If they will work during the regular academic year, another authorization must be completed at that time.) Do not permit any student to work until this summer employment authorization has been signed and you have received a copy in your hands. If they don’t provide you with a copy of their employment authorization, be sure to send them to the Financial Aid Office. First-time employees must come by the Financial Aid Office with a.) their original Social Security card or birth certificate AND b.) driver’s license or photo ID.
6. The maximum number of hours a student can work per week as a full-time student is 20. Students who are not enrolled in summer classes but plan to re-enroll for the fall can work up to 40 hours per week.
For International Students: A student on an F-1 visa may accept employment at the institution, but is limited to 20 hours per week while school is in session. This limit cannot be exceeded regardless of how many positions a student holds. Students as well as supervisors are responsible for monitoring the hours worked each week so as not to violate this federal regulation (8CFR214.2). International students who are not enrolled during the summer but plan to re-enroll in the fall can work up to 40 hours/week.
7. If you want the Financial Aid Office to post your job opening and refer applicants to you, please complete the attached Job Announcement form. Students who are in search of jobs can come by the Financial Aid Office and receive an individual Referral form. The student will then contact you to set up an interview. The Referral will let you know whether the student’s funding eligibility will be Federal Workstudy or Lander Workstudy. Please be aware that the Referral is not the same as an Employment Authorization.
8. The Student Employment Manual covers general employment procedures for student assistants.
9. Timesheets will be e-mailed to supervisors. Be sure to keep copies for your records prior to sending them to the Financial Aid Office.
To ensure that Employment Authorizations are ready, signed, and that the student employee can begin work on May 4th, we must receive completed Summer Work Requests and Summer Aid Applications in the Financial Aid Office by

4. Federal Work Study funding
for the summer is not guaranteed and is awarded on a first-come, first-served
basis.
To be eligible for Lander
Work Study funding (100% of earnings funded by employing
department):
1. The student must be enrolled
in summer school or planning to enroll for the coming semester. (For an incoming freshman or transfer,
he/she must have been accepted for admission for the Fall 2007 semester.)
