Policy for Involuntary Call to Active Duty

Any student who is involuntarily called to active military duty (other than the normal two weeks training period) and withdraws from the University, will be given special consideration upon producing military orders showing a call to active duty.

 

Procedures are as follows:

  1. Military Orders must be presented to the Registrar’s Office.
     
  2. A Withdrawal/Leave of Absence form must be completed and submitted to the Registrar’s Office. If the student is unable to submit the form, (leaves in the middle of the night, etc) he/she should appoint someone to do his/her paperwork, and give that person a signed note showing the person is acting on the student’s behalf (a family member, or friend). Power of attorney paperwork must be shown if the student has someone appointed as power of attorney.
     
  3. Students may be given a Leave of Absence if requested on the Withdrawal/Leave of Absence form for either one or two regular semesters. This leave of absence may be extended beyond the two regular semesters provided proof is shown that military active duty is required beyond this time.
     
  4. The VA Coordinator at Lander will notify the appropriate VA Administration office of the student's withdrawal for active duty.
     
  5. Withdrawal procedures are as follows:

    a. Tuition and course fees will be completely refunded and grades of “W” will be assigned. Students receiving financial aid will be subject to the federal return of Title IV funds policy. In some cases, a student who has already received excess financial funds may be required to return part or all of the financial aid refund. Students not receiving financial aid can choose to receive a refund or a tuition credit (to be used upon return from active duty).
     
    b. Students who are living in campus housing and participating in the meal plan will have meals and housing prorated from the time they leave for active military duty and appropriate refunds given.
     
    c. In some cases, students and instructors may be able to make arrangements for grades of "I"- Incomplete. The grade of incomplete will remain until the student returns from active duty, at which time the work must be completed within the usual 6 months time frame. An incomplete grade is an arrangement between the student and his/her instructor and no refunds or tuition credit can be given for these classes. 
     
    d. A notation on the student’s transcript will show that the student is on extended active military duty. This notation will read “Withdrew (DATE) due to Involuntary Activation for Military Service”.
